If you use this method and then use some of the sources previously listed...you and the group will get the best pricing and save money for all!
The general idea behind a co-operative is to find and purchase food items and
necessities in bulk quantities for the best prices. This method also saves money
on shipping as well as the items purchased. Each member of a co-op is
responsible to carry his/her share of the work load such as being there, in most
cases, to unload the truck, check everything in and possibly pick and pull
orders for the individual members. There is a nice fellowship with like minded
others that comes with co-oping!
Here are some guidelines for starting a food co-op:
1) Determine the need for a co-op by asking friends and family members what
types of items that they usually buy or are interested in buying possibly
wholesale.
2) One person (and possibly a helper) should be the organizer or co-ordinator.
This person, the co-ordinator, is responsible for finding the needed items from
wholesale sources, compiling theorders as they come in, collecting the money for
the orders and submitting payments to the company where the purchase is made.
**Co-ordinator responsiblities**
3) Call as many sources for the items needed and compare prices on good as well
as shipping charges. The closer the company, the less the shipping charges will
be. Terms of shipment, quality of items etc can be discussed at this time.
4) When the sources have been identified, make up order forms and give out to
all interested parties. Establish when the orders are due back to the
co-ordinator, when the payment (or deposits) are due and when the pick
up/delivery will be, if known.
5) Set the date for return of completed order. Establish a deadline for
ordering and and allowable changes/cancellations, if needed.
6) Call or fax the order to the company. If you use the fax, always get a
confirmation of your order.
7) The company will be able to give you a fairly accurate shipping quote at the
time of the order placement. Most companies dealing with grains, beans, rice,
etc in bulk 50# bags, will also offer a discount if more than a mimimun order is
placed. The cheapest way if an order is over 500# is always by truck.
8) It is preferrable to always meet at a public place to deliver an order. Find
a place (always get permission from the owner first!)that is central to most of
the members. Most shopping centers or churches will allow this. Be sure to leave
no trace of you ever being there...pick up all pallets, trash, etc.
9) Call all members as soon as the delivery date is established. Arrange at
that time for everyone who ordered to be there to unload, or have someone there
in their absence.
10) As the truck is unloaded, make piles for each individual item. This will
make checking the bill of lading easier for errors. After the truck leaves the
drop, order for the individuals may be picked from these piles.
11) Verify each order a second time as it is loaded into each vehicle. Give each
member a copy of their receipt ONLY after the order has been reconciled.
